Office Management Assistant - Jakarta
Basic Function of Position :
- The incumbent serves as the Office Manager for the Management Counselor. S / He makes appointments, screens phone calls and visitors, manages the flow of documents, and will be the first point of contact and provides broad management information to inquiries. The incumbent also manages other projects as assigned.

- Completion of High School is required.
- Must have at least two years administrative / clerical experience in a professional office environment.
- Level 4 (Fluent) speaking / reading / writing in English is required. Language proficiency will be tested.
- Needs to know how to draft diplomatic correspondence. Should be familiar with structure of large organization and familiarity with computer office applications.
- Ability to learn and proficiently utilize new software programs, office management skills, such as phone etiquette, scheduling meetings / travels, ability to coordinate and prioritize competing projects and demands, high interpersonal and organizational skills.

Basic Function of Position
- The incumbent serves as the administrative and personal assistant to three Assistant Cultural Affairs Officers, for Exchanges, Alumni, Youth and Programs (Speaker / Education in the US / @america). Assistant Cultural Affairs Officers are responsible for the management of all exchange, alumni, youth outreach, speaker, education in the U.S., @america and other programs. S / He serves as back-up to the Cultural Affairs Officer’s secretary and Cultural Affairs Assistant for Exchanges.

- Bachelor’s degree or equivalent (S1) in Administration or related field is required.
- Must have at least two years of progressively responsible administrative experience.
- Level 4 (Fluent) speaking / reading / writing in English and Bahasa Indonesia are required. Language proficiency will be tested.
- Demonstrates proficiency in using the internet, database programs, and computer office applications. Must have knowledge of names, relationship, acronyms, and purpose of government, NGOs and educational institutions in the U.S. and Indonesia. Must have thorough familiarity with office procedures, correspondence format and office machines.
- Must be able to gather information and draft routine correspondence without instruction. Able to analyze and organize: data, office procedures, and make suggestions as to improvements. Demonstrates customer service and excellent interpersonal skills, especially dealing with people with a wide variety of professional, social and educational backgrounds. Must have proven teamwork skill. Must be able to take initiative, to work independently, to prioritize work, to organize project, and to manage time. Must be highly detail oriented.

Basic Function of Position :
- The incumbent is the senior secretary and administration assistant to the Cultural Affairs Officer (CAO), and also supports the work of the Senior Program Specialist and the DRS / Program Assistant. She is the back-up secretary and personal assistant for the Public Affairs Officer (PAO). Assistant Cultural Affairs Officer (ACAO) and the Regional English Language Officer (RELO) as well as provides support to the IRC.

- At least University degree (or host country equivalent (D4) in Business Administration, Office Management, or any Social Science field is required.
- At least 2 (two) years experience in secretarial and administrative experience in an International Organization is required.
- Level 4 (Fluent) speaking / reading / writing in English and Bahasa Indonesia are required. Language proficiency will be tested.
- Must be thoroughly familiar with office procedures and formats for various types of correspondence. Must know names, relationships, acronyms, and organization of both government institutions and private education and cultural organization in Indonesia and the U.S.
- Must be a fast and accurate typist; must be able to draft correspondence in English and Indonesian; must be able to adapt; must possess strong interpersonal skills to communicate with colleagues in PAS; to communicate throughout the Embassy; and also to communicate with a variety of contacts.
- Must be able to draft correspondence in English and Indonesian; must be able to adapt draft messages to comply with telegram, letter and other formats.
